Administrative Assistant

Reports to: Country Leader

Employee type: Salaried nonexempt

Objective

Guarantee the delivery of service needs across all business units in a timely and efficient manner, working closely with the business and providers ensuring compliance of internal policies and procedures.

Assist Procurement and Logistics management in acquisitions and logistics processes, providing administrative support to all business functions and departments.

 

Key Responsibilities

  • Plan and schedule company shipping needs with focus on employee equipment and transportation needs.
  • Lead the relationships with service providers to ensure efficiency and coverage.
  • Monitor and evaluate all indicators of transportation and other services delivery, generating reports and proposals for improving the overall process.  Such indicators include, but are not limited to timeliness, satisfaction, cost, efficiency, coverage, response time.
  • Support equipment/asset recovery and delivery from personnel working remotely, ensuring proper documentation and process compliance of key players (IT, transportation company, HR, and employee.)
  • Ensure the purchasing process is met to fulfill transportation needs in compliance with the internal processes.
  • Coordinate efforts with other areas of the company to understand service needs and provide efficient solutions for them.
  • Inventory Management: Monitor inventory levels and collaborate with the end users to maintain optimal stock levels. Identify and report on excess inventory.
  • Documentation and Record Keeping: Maintain accurate records of purchases, contracts, and agreements. Organize and file procurement-related documentation for easy retrieval and audit purposes.
  • Reporting: Generate and distribute reports related to procurement activities, including purchase order status, supplier performance, and inventory levels as required by management.
  • Administrative Support: Provide administrative support, such as scheduling meetings, maintaining calendars, and assisting with special projects as needed.
  • Any other related tasks or activities within the scope of the role.

  • Financial:
    • Service expenses remain within the parameters established in the corresponding budget plan for the period.
    • Positive impact in overall savings within procurement handled processes.
  • Compliance:
    • Effectively fulfills all its obligations in accordance with the tasks defined in this document, resolving and escalating claims.
    • Demonstrate proactivity and initiative, and requires minimal levels of supervision, controlling processes in audits.
  • Internal Client:
    • Contributes to maintain the levels of satisfaction of our collaborators with the service of the department above 90%
    • Handle all viable employee requests in an objective and professional manner, communicating the transport policies.

Key Requirements

Essential requirements to perform successfully in this position:

  • Education: Technical or Technologist
  • Experience: Data analysis experience of at least 1 year, and logistics is a personal/professional area of interest.  Experience in employee transportation and/or logistics is a plus.
  • Skills: Strong written and oral communication. Analysis, intermediate Excel knowledge. Proficient in Microsoft suite and computer use.  Scheduling and organization skills.
  • Language: Intermediate English is required.
